Privacy Policy

Last updated: 17 September 2026

This policy explains how this company collects, uses, and protects personal data belonging to our customers, suppliers, and other business contacts through this platform (ExportTrack Pro) and its supplier portal. It is written to meet the notice requirements of India's Digital Personal Data Protection Act, 2023 ("DPDP Act").

1. What we collect

2. Why we process it

We process this data only to run the business relationship you have with us: sending and receiving quotations, raising and fulfilling purchase orders, generating export/shipping documentation, making and receiving payments, and meeting our own legal, accounting, and customs obligations. We do not sell personal data, and we do not use it for advertising.

3. Consent and notice

Where the DPDP Act requires it, we send a one-time notice by email to a new supplier (on their first request for quotation) or a new customer (the first time we finalize a quotation or confirm a shipment for them), explaining what we collect and why, before we rely on your data. You are not sent this notice again for the same relationship unless something material changes.

4. Sharing

We share data only where necessary to complete your transaction — for example, with our logistics partners, customs agents, and bank, or with the specific supplier/customer counterparty on your own order. We do not share your data with unrelated third parties.

5. How long we keep it

We retain order, invoice, and shipment records for as long as applicable Indian tax, customs, and company-law record-keeping requirements demand, and delete or anonymise contact data that is no longer needed for an active relationship or a legal obligation.

6. Your rights

Under the DPDP Act you may ask us what personal data we hold about you, request a correction, or withdraw consent (which may affect our ability to continue processing an active order or supplier relationship). To do so, or to raise any complaint about how your data is handled, write to our Data Protection/Grievance Officer:

Contact your account representative at this company.

If you are not satisfied with our response, you may approach the Data Protection Board of India under the Act.

7. Cookies and browser storage

This platform does not use advertising or analytics cookies/trackers of any kind. The only browser storage it uses is:

8. Security

Access to this platform is role-based and logged. Sensitive fields (such as banking details) are encrypted at rest. We restrict who within our organisation can view or export your data to those who need it to serve your order or supplier relationship.

9. Changes to this policy

If we make a material change to how we handle your data, we will update this page and, where required, notify you directly.
